ApexCFO, Inc. ("ApexCFO," "we," "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and protect information when you visit our marketing website at apex-cfo.com or use our financial analytics platform at app.apex-cfo.com.

2. Information We Collect

Account Information: Name, email address, and password when you create an account.

Financial Data: When you connect QuickBooks Online or upload financial files, we process your financial statements, transactions, and related accounting data to provide the Service.

Usage Data: Log data, IP addresses, browser type, pages visited, and analytics identifiers to understand site and platform usage. Google Analytics 4 is used on marketing pages at apex-cfo.com, not on authenticated client pages; it measures visits, page paths, and site interactions. Microsoft Clarity is used on the public landing page at apex-cfo.com to analyze page interactions and session recordings; it is not intended for authenticated client pages. PostHog also collects usage events across the website and platform.

Payment Information: Billing details are collected and processed by Stripe. ApexCFO does not store full payment card numbers.

3. How We Use Your Information

We use your information to: provide and improve the Service; process payments; send service-related communications; analyze usage to enhance features; and comply with legal obligations. We do not sell your personal or financial data to third parties.

4. QuickBooks Integration

When you connect QuickBooks Online, ApexCFO accesses your accounting data (profit & loss, balance sheet, cash flow, customer transactions) using Intuit's OAuth 2.0 authorization. We access only the data necessary to provide analytics. Your QuickBooks credentials are never stored by ApexCFO — authorization is managed entirely through Intuit's secure OAuth flow. You can disconnect the integration at any time from your dashboard.

5. Data Sharing

We share data with service providers who assist in operating the website and Service, including Supabase for database hosting, Render for backend hosting, Vercel for frontend hosting, Stripe for payments, Google for Google Analytics 4, Microsoft for Clarity, and PostHog for product analytics; as required by law or legal process; or with your explicit consent. We do not send client financial data to Google Analytics 4 or Microsoft Clarity.

6. Data Security

We implement industry-standard security measures including encryption in transit (TLS) and at rest, access controls, and regular security reviews. OAuth tokens for third-party integrations are stored in encrypted vault storage. No system is completely secure — we encourage you to use strong passwords and notify us of any security concerns.

7. Data Retention

We retain your data for as long as your account is active. Upon account termination, data is retained for 30 days to allow for export, then deleted. You may request deletion at any time by contacting us.

8. Your Rights

You have the right to access, correct, export, or delete your personal data. To exercise these rights, contact us at info@apex-cfo.com. California residents have additional rights under the CCPA, including the right to know what personal information is collected and the right to opt out of data sales (we do not sell data).

9. Cookies

We use essential cookies for authentication and session management and analytics cookies or similar browser identifiers to measure usage of our website and Service. Google Analytics 4 may set analytics cookies on apex-cfo.com. Microsoft Clarity may use cookies and similar identifiers for landing-page interaction analytics and session recordings. We do not use Google Analytics 4 or Microsoft Clarity on authenticated client pages. You can block or clear cookies in your browser, use the Google Analytics opt-out browser add-on, visit the Microsoft Clarity opt-out instructions, or contact us at info@apex-cfo.com with a privacy request. Blocking essential cookies may affect Service functionality.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on the Service. Continued use after changes constitutes acceptance of the updated policy.
